Job Description

We’re hiring a knowledgeable and compassionate Leave of Absence (LOA) Specialist to join our HR team. This role will support a dynamic, multi-site workforce and ensure a smooth, supportive experience for employees navigating medical and personal leave. If you have strong experience in FMLA, ADA, and employee leave processes, and you enjoy being a reliable guide through complex topics, we want to hear from you.

What You’ll Do

  • Act as the primary internal point of contact for all leave-related matters.
  • Partner with a third-party administrator (e.g., Matrix) to manage leave workflows including FMLA, ADA, and military leave.
  • Provide high-touch support to employees: answering questions, offering guidance, and ensuring timely follow-ups.
  • Train and support managers on leave procedures, system use, and documentation.
  • Monitor and interpret daily reports (3–4 per day), flagging key items and ensuring timely action.
  • Facilitate ADA accommodation discussions between employees and managers.
  • Develop clear training tools, guides, and email templates for use in leave processes.
  • Ensure an empathetic, compliant, and proactive approach to each leave case.

What We’re Looking For

  • 3+ years of experience in LOA administration, HR benefits, or a related HR function.
  • Strong understanding of FMLA, ADA, and other job-protected leave programs .
  • Experience working with third-party vendors (Matrix or Unum a plus).
  • Strong communication skills – able to simplify complex information with professionalism and care.
  • Associate degree or higher required.
  • Organized and responsive with strong follow-through.
  • Skilled in balancing policy adherence with a people-first mindset.
